Xero for NPOs

Need Xero Set Up Properly for Your NPO?

Xero is built for businesses. Out of the box it does not know about restricted grants, project budgets or board packs for a non-profit. Xero for NPOs at Turning Point Chartered Accountants SA means a chart of accounts, tracking categories and reports designed around how your funders and board read the numbers.

New to Xero? We plan the migration, set up the file, bring across opening balances and train your team. Already on Xero? We review what is there, fix the coding and reconciliations, and restructure tracking so fund and project reports come straight out of the system instead of from spreadsheets.

Our approach

Set Up Once, Report Cleanly Every Month

We start with how you are funded and governed: which grants carry conditions, which projects need separate reporting, and what your board expects each month. That shapes the chart of accounts and the tracking categories before any transactions are coded.

Next we connect bank feeds, set reconciliation routines and build saved reports for each funder and for the board. Your finance person is trained on the day-to-day, and you can keep monthly support with us if you want a second set of eyes on the close.

Xero is one part of good NPO finance. If your books need ongoing work, see our NPO accountants. Unsure where to begin? Start with a Needs Analysis.

Why NPOs Use TPCSA for Xero

  1. Set up by an accounting practice that works with NPOs, PBOs and NPCs — not a generic software reseller
  2. CA(SA) directors review the structure so it supports audit or independent review
  3. Fund and project reporting designed around donor conditions
  4. Same firm can advise on VAT and tax when the books raise questions
  5. Practical training so your team can run Xero without us
Is Xero suitable for a South African NPO?

Yes, for most small and medium NPOs. Xero handles South African bank feeds, VAT settings and multi-user access. What makes it work for an NPO is the setup: a chart of accounts and tracking categories built for funds and projects.

How do you track donor funds in Xero?

We usually use tracking categories for funds or projects, combined with account codes for restricted and unrestricted income. Reports can then be filtered per funder, so you can show what each grant received and spent.

We are new to Xero. What does onboarding involve?

We agree the structure, create the file, load opening balances from your last approved figures, connect bank feeds and train your team. Timing depends on how clean the existing records are.

We already use Xero but the reports are a mess. Can you help?

Yes. We review the file, fix miscoded transactions and unreconciled items, and restructure tracking where needed. Historical clean-up is scoped first so you know what is involved.

Does Xero have special pricing for non-profits?

Xero has offered discounts to eligible non-profits in some regions. Check current eligibility and pricing directly with Xero, as offers change.

Can Xero produce our annual financial statements?

Xero holds the data, but annual financial statements still need to be prepared and reviewed under the right framework. We use the Xero data to prepare AFS ready for your auditor or reviewer.

Can payroll and other apps connect to Xero?

Many payroll and expense apps integrate with Xero. We help choose and connect tools that suit your size, and make sure payroll journals post to the right funds.

Will our auditor accept Xero records?

Auditors commonly work with Xero. What matters is reconciled accounts, supporting documents and a clear trail per fund. Our setup is designed with that in mind.

Do you provide ongoing Xero support?

Yes. Some organisations want a one-off setup and training; others keep us for monthly reviews or full bookkeeping through our NPO accountants.
