Catch-Up & Clean-Up Books

NPO Catch-Up Bookkeeping
for South African
OrganisationsRebuild, reconcile & stay current

Books months or years behind? We rebuild the ledger, reconcile bank and funds, and get you back to a state where AFS, DSD and donor reports can be completed — then hand over to a steady monthly rhythm under CA(SA) oversight.

When the Books Are Months or Years Behind

A volunteer treasurer drowning in unfiled invoices. DSD or CIPC filings blocked because the ledger cannot support AFS. A donor asking for project spend you cannot prove. NPO catch-up bookkeeping from Turning Point Chartered Accountants SA rebuilds and reconciles the open periods under CA(SA) oversight — then gets you back to a current close.

Catch-up sits under our NPO accountants practice, for registered NPOs, PBOs, NPCs, churches, trusts and donor-funded programmes. Once the backlog is closed, ongoing support continues through NPO bookkeeping and, when the board needs current packs again, NPO board packs.

Backlog Assessment

We size how far behind you are, which entities and funds are open, and what source documents still exist — so the rebuild plan is realistic before work starts.

A Needs Analysis is the usual first step.

Historical Transaction Capture

Invoices, receipts, donations and transfers from the open periods are captured and coded into the ledger so the history is complete enough to close.

Once current, ongoing capture sits under our NPO bookkeeping service.

Bank & Petty-Cash Catch-Up Recs

Every bank and petty-cash account is reconciled to statements for the open months, with unexplained items investigated and cleared or documented.

Pair this with financial controls for NPOs so the next backlog does not start at the bank.

Fund / Project Re-Coding

Restricted income, grants and projects are re-coded so unspent balances and donor conditions make sense again in the ledger.

See fund accounting for South African NPOs and trusts for how project codes should sit.

Creditors & Debtor Clean-Up

Aged creditors, debtors and clearing accounts are investigated, cleared or documented so the balance sheet is honest before AFS or a board pack.

Useful context: financial controls for NPOs on approvals and payment trails.

Chart of Accounts Tidy (Xero)

An NPO-fit chart, tracking categories and historical mis-codes are tidied in Xero (or similar) so the next month does not recreate the mess.

See our Xero for NPOs page for setup and handover support.

Month-by-Month Rebuild to Current

We close each open month in sequence until the ledger is current — bank, funds, payroll postings and creditors aligned for each period.

When VAT or tax questions appear during the rebuild, our VAT and tax teams are in the same practice.

Handover to Monthly Bookkeeping

When the backlog is closed we hand you a current ledger and a monthly rhythm so the books do not slip again.

Ongoing support continues under NPO bookkeeping.

AFS / Board Readiness After Catch-Up

A usable ledger ready for annual financial statements and a board pack rhythm — so DSD, CIPC and donor deadlines can be planned again.

See NPO annual financial statements and NPO board packs.

Our approach

Rebuild the Ledger, Then Keep It Current

We start with a Needs Analysis: how far behind, which entities and funds, what documents still exist. Bank and control accounts come first, then fund and project re-coding, then a month-by-month rebuild to current. Gaps and judgements are agreed with the board in writing before AFS draft or a new board rhythm.

Catch-up is not a side desk. It sits inside our NPO accountants practice, with the same firm that already supports monthly bookkeeping, annual financial statements, VAT, tax and audit when those questions appear. You brief one firm, not a string of freelancers who never see the full picture.

Start with a Needs Analysis if you are unsure how deep the backlog runs. Practical controls that stop the next backlog are covered in financial controls for NPOs.

Why Boards Choose TPCSA Catch-Up

  1. CA(SA) oversight on the rebuild — not juniors guessing at NPO coding
  2. Bank, funds, payroll postings and creditors rebuilt as one ledger story
  3. Chart and tracking tidied so the next month does not recreate the mess
  4. Same practice as bookkeeping, board packs, VAT, tax and audit — one brief
  5. Fixed scope after Needs Analysis, then a steady monthly handover
What is NPO catch-up bookkeeping?

Catch-up (or clean-up) bookkeeping rebuilds periods that were never closed properly — often months or years — so bank, funds, payroll and creditors reconcile again. Only then can AFS, DSD reports and donor schedules be completed with confidence.

How far behind can you go?

As far as the source documents allow. Bank statements, payroll records, grant remittances and prior AFS are the usual anchors. Where documents are missing we document gaps and agree how to treat them with the board.

Will catch-up fix our overdue NPO Directorate report?

It is usually the first step. Once the ledger is reliable we prepare outstanding AFS and help you plan the narrative report, accounting officer’s report and submission. Timing still depends on how much has to be rebuilt.

Is catch-up the same as an audit?

No. Catch-up is accounting work to restore the books. An audit or review comes later, once there is something trustworthy to assure. See NPO audit and review services.

What happens after the catch-up?

We hand you a current ledger and a monthly rhythm — typically via NPO bookkeeping — so the backlog does not rebuild.

Can you clean up Xero (or similar) charts of accounts?

Yes. Catch-up often includes fixing an NPO-unfriendly chart, tracking categories and historical mis-codes. See Xero for NPOs.

How long does a catch-up take?

It depends on how many months are open, how many bank accounts and funds you have, and how complete the paperwork is. After a Needs Analysis we give a phased plan and a fixed scope for the first stage.

How much does catch-up bookkeeping cost?

Fees are scoped to the backlog and complexity — not an open-ended hourly surprise. We quote a fixed scope after a Needs Analysis, so you know the cost before work starts.

How do we get started?

Book a Needs Analysis or use the contact details at the foot of this page. Bring bank access (or statements), last signed AFS if any, and a list of grants active in the open periods.
